New Dawn’s Adaptive Case Management system has all your most important functionality built-in so that you don’t have to work from several different programs or modules to get your job done. For example, it includes case and name management, electronic document management, document scanning, indexing and searching, a public web portal, e-filing, e-discovery, calendars, reports, automated document and report generation, automatic notifications, file tracking, and electronic and digital signatures, as described below.
Case and name management
Our powerful relational database model uses centralized tables and a logical design to increase data-entry efficiency. Each person, organization, or business with whom your agency interacts may have various roles, including employer, vendors, claimants, or any combination. The central name/party table reduces duplicate entry—name and case data is entered once and then referenced and linked to events, other name records, other case records, financial obligations, generated documents, notes, and more. You can track all name/party information, including date of birth, contact details, notes, information, event information, and more.
You can gather vital personal and demographic information—including residence, employment, family contact, and important relationships—and review historical and current cases. Your agency defines the fields and codes that track the characteristics and background of everyone in your database. You can view all information about any individual or case on an easy-to-read, agency-defined, drilldown, printable, exportable, and hyperlinked one-screen summary.
The integrated electronic document management solution (EDMS) makes it easy to scan documents directly into New Dawn’s Adaptive Case Management system, associate them with specific names and parties, and route to responsible parties for review and task assignments. The EDMS system (or “virtual filing cabinet”) will store documents, images, audio, video, and any other type of file.
Files stored in the virtual filing cabinet are accessible from any computer with permissions. All files saved here are stored in a shared location—you never need to search individual computers for documents. The integrated OCR functionality also allows for content search and retrieval on all documents.
Public web portal
Many government agencies are inundated with information requests from individuals and other justice agencies. You can choose to add our public portal solution to your New Dawn Adaptive Case Management software implementation to provide secure, web-accessible, agency-defined queries to provide access to name/party and case information on a secure agency website.
Our powerful online solution also provides e-payment, e-filing, and e-discovery information. Integrating with our proven and secure credit card processing solution provides added revenue to your government organization.
E-filing, E-payment and E-discovery
You can put the power of your case management system into the hands of those who often use it–the public and your stakeholders–by choosing to integrate our e-filing, e-payment, or e-discovery components with your New Dawn Adaptive Case Management software implementation.
You can easily create and customize specific forms, creating a step-by-step interview process to collect the information you need for your case records. Filers may also submit attached documents to those forms (e.g., Word documents, PDF documents, etc.). The e-filing component interacts with users through a web browser. You can specify who is given access, whether customers, staff, the general public, or others. Each user is given a username and password for security. Email is highly integrated, allowing administrators to set up automatic email notifications based on user activity and requests.
If you track and collect financials from case and name participants, the ePayment solution provides secure web, PCI compliant processing functionality, which is tightly integrated with the New Dawn Adaptive Case Management solution’s included financial accounting program.
The interactive calendar screens allow you to manage all of your individual and team events, tasks, and work queues on one screen. Master calendars provide detailed daily, weekly, and monthly views, which can be sorted by division, agency, location, person, date, range of dates, and more. You can have your dashboards set up to display these calendars whenever you log in to the system, and have office and personal calendars delivered directly to your email inbox. Additionally, hard copy calendars, such as day planners or wall calendars, can be produced and printed in a variety of system-included or user-created formats.
Whether you are in the office, in the courtroom, or using a mobile device, you can quickly synchronize all related case and name events with your Microsoft Exchange calendar. Events edited or rescheduled on your Exchange are also synchronized back to your case management system to reflect a true history of all case events.
New Dawn’s Adaptive Case Management solution redefines the relationship between case management and reports by tightly integrating with a powerful, commercially available reporting solution. In other words, you can view Adaptive Case Management reports as part of a data entry or other screen; you never have to exit the software program or open another program. You can also have reports automatically emailed to users or stakeholders.
Case and name summary displays are tightly integrated with intake and data entry screens, making them transparent to your end users and completely modifiable by your agency. Your users or key stakeholders can receive critical reports directly in their inboxes—on demand or on a schedule.
The data in your case management system is one of the most valuable resources in your office. It should outlast all administrators and employees. This integral information will allow your agency to evolve in years to come. Your system enables you to easily access and manipulate any of this historical data.
The robust reporting tools allow you to query, display, and print any agency, state, local, or federal statistical requirements. These system reports give you and your staff a head start on extracting critical data from the application.
Included are easy-to-use tools that let authorized users–not just programmers–create additional ad-hoc and custom reports whenever you want. You define the format, look, and content of all reports. Users will be amazed at how quickly and easily the intuitive interface allows them to present cross tabular data with charting, graphing, drilldown reporting, and hyperlinks that allow for quick case and name access.
Automated Document Generation
You can automatically generate complex multi-page documents, batch documents, payment notices, simple letters, and more—using your agency’s templates. These documents automatically populate with the information stored in case and name/party records, reducing data entry time and error, and are automatically saved for future access in the virtual filing cabinet. With the Business Rules Manager, you can set up workflow based on your procedures to allow the automated documents and forms to be triggered by event entries, case status changes, and more.
Our alerting system provides you and your staff with automatic notifications of important name/party and case information. You simply define the notification prompts and central person/party database, and then the application’s built-in enter-it-once technology will trigger pop-ups every time the record is accessed. Your staff is automatically reminded of events and deadlines via email, pop-up messages, or even text messages.
